Privacy Policy

Onyx Record Press (“Onyx,” “we,” “us,” “our”) presses vinyl records for artists and labels. This policy explains what personal information we collect through onyxrecordpress.com (the “Site”) and in the course of quoting and manufacturing an order, how we use it, who we share it with, and the choices you have.

We are a small manufacturer. We collect what we need to quote your project, make your records, get them to you, and stay in touch about your order — and not much else. We do not sell your personal information, and we do not use it for advertising.

Information we collect

Information you give us

Quote requests. Your name, email address, phone number, company or label name, artist name, release title, and the specifications of the project — format, speed, quantity, color, jacket and label artwork requirements, mastering and lacquer needs, target dates, and any notes you add. If you give us a shipping destination, we use it to estimate freight and applicable sales tax.
Contact and inquiry forms. Your name, email address, phone number and the content of your message.
Orders. Billing and shipping addresses, contact details for the people we should deal with on the order, purchase order or reference numbers, and the correspondence we exchange with you about the job.
Audio and artwork. The masters, artwork files, test pressing feedback and approvals you send us in order for us to manufacture your record. We mention these because they can contain personal information — credits, contact details in file metadata, images of people — and this policy covers that personal information. How we handle the materials themselves, including how long we keep them, is set out in the order terms you accept during the order process, not here.
Email list. If you sign up for our mailing list, your email address and any name you provide.

Information we collect automatically

Analytics. With your consent, Google Analytics 4 records pages viewed, approximate location derived from IP address, device and browser type, and how you arrived at the Site. Analytics does not run until you agree through our cookie banner. See our Cookie Policy.
Server and security logs. Our hosting provider records standard technical information such as IP address, request time and user agent, which is used to deliver the Site securely and to investigate abuse.

Information we do not want

Please do not send us government identification numbers, full payment card numbers, health information, or other sensitive personal information through the Site’s forms or by email. We do not need it. If you send it anyway, we will delete it when we notice it.

How we use your information

To prepare and send you a quote, and to answer your questions about it.
To accept, schedule, manufacture, quality-check, invoice and ship your order.
To keep you informed about the status of a project — file review, test pressings, approvals, delays, delivery.
To keep business records, including records of what was manufactured for whom, for accounting, tax, warranty and dispute purposes.
To send you marketing email, where you have asked to receive it.
To understand how the Site is used and improve it, where you have consented to analytics.
To protect the Site and our business against fraud, spam and abuse, and to comply with our legal obligations.

Marketing email

We send marketing email only to people who have asked for it. Every marketing email includes an unsubscribe link, and unsubscribing takes effect promptly. We manage our mailing list with Mailchimp (Intuit Inc.), which processes subscriber data on our behalf. Unsubscribing from marketing does not stop transactional messages about an order you have placed — file requests, approvals, shipping notices and invoices.

How we share information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We disclose it only in these situations:

Service providers who work for us, under contracts that limit them to processing information on our instructions:
- Webflow, Inc. — website hosting and form submissions
- Google LLC — Google Analytics 4 and Google Tag Manager (analytics only, with consent)
- Intuit Inc. (Mailchimp) — email marketing
- [ONYX TO CONFIRM — add the ones you actually use: accounting and invoicing software; email and file storage provider; shipping carriers and freight forwarders; any automation platform used to route quote requests; any payment processor.]
Suppliers and subcontractors where a step of your job is carried out off-site — for example printing, plating or mastering by a partner shop. They receive only what is needed to complete that step, which normally means artwork, audio and delivery details rather than your full customer record.
Shipping carriers, who receive the recipient’s name, address and contact details in order to deliver.
Professional advisors — accountants, insurers and lawyers — where reasonably needed.
Legal reasons — where we are required to disclose information by law, subpoena or court order, or where disclosure is necessary to protect our rights, safety or property, or to investigate suspected fraud or an infringement claim.
Business transfers — if Onyx is sold or merges with another business, customer records may transfer as part of that transaction. We will let you know if that happens.

Cookies

The Site uses strictly necessary cookies and, with your consent, Google Analytics cookies. It uses no advertising or retargeting cookies. Our Cookie Policy lists each cookie, and you can change your choices at any time through the Cookie settings link in the footer.

How long we keep information

Quote requests that don’t become orders — kept while the inquiry is live and for a reasonable period afterwards in case you come back to it. [ONYX TO CONFIRM a period, e.g. 24 months.]
Customer and order records — the contact details, correspondence and billing records attached to a job. Kept for as long as we do business with you and afterwards for as long as needed for accounting, tax and warranty purposes. [ONYX TO CONFIRM a period, e.g. 7 years, to match your accountant’s advice.]
Audio and artwork files — governed by the order terms you accept during the order process, not by this policy. See those terms for how long we hold masters, artwork and metal parts after a run.
Mailing list — until you unsubscribe, plus a suppression record so we do not email you again by mistake.
Analytics — retained by Google Analytics according to the retention setting on our property. [ONYX TO CONFIRM: GA4 default is 2 months; 14 months is the maximum.]

Security

We use reasonable administrative and technical safeguards appropriate to a business of our size — access controls on the systems that hold customer records, encrypted connections to the Site, and vendors chosen for their own security practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Children

The Site and our services are directed to businesses and to adults working on music projects. We do not knowingly collect personal information from children under 13, and we do not knowingly sell or share the personal information of anyone under 16. If you believe a child has given us personal information, contact us at info@onyxrecordpress.com and we will delete it.

Your California privacy rights

Onyx is based in Arcadia, California, and most of the people who contact us are California residents or deal with a California business.

[ONYX TO CONFIRM with counsel: the California Consumer Privacy Act applies to businesses meeting at least one threshold — roughly $26.6 million in annual gross revenue, buying/selling/sharing the personal information of 100,000 or more consumers or households in a year, or deriving 50% or more of revenue from selling personal information. Onyx almost certainly meets none of these today, so the CCPA likely does not apply. The section below is drafted to offer the rights voluntarily, which is good practice and is what most customers now expect. If you would rather not commit to them, say so and this section can be reduced to the Shine the Light and Do Not Track disclosures, which apply regardless.]

Whether or not we are legally required to, we will honor the following requests from California residents:

Know and access — ask what personal information we hold about you, where it came from, why we have it, and who we have disclosed it to, and ask for a copy.
Delete — ask us to delete personal information we hold about you. We may keep what we need for completed transactions, accounting and tax records, warranty and dispute purposes, and to comply with law.
Correct — ask us to fix personal information that is inaccurate.
Opt out of sale or sharing — we do not sell or share personal information for cross-context behavioral advertising, so there is nothing to opt out of. If that ever changes, we will update this policy and add a “Do Not Sell or Share My Personal Information” link before doing it.
No retaliation — we will not deny you service, charge you a different price, or give you a lesser quality of service because you exercised a privacy right.

How to make a request. Email info@onyxrecordpress.com or call 626-217-2617 with “Privacy request” in the subject line, and tell us what you would like us to do. We will ask for enough information to verify that you are the person whose records you are asking about — usually the email address or order number we already have on file. We aim to respond within 45 days. An authorized agent may make a request on your behalf if they provide written permission signed by you, and we may still contact you to confirm.

Shine the Light (Cal. Civ. Code § 1798.83). California residents may ask once a year whether we disclosed personal information to third parties for their own direct marketing purposes. We do not, and we have not.

Do Not Track and Global Privacy Control. There is no common industry standard for responding to browser “Do Not Track” signals, so the Site does not respond to them differently from the choices you make in our cookie banner. We do honor Global Privacy Control signals by leaving analytics cookies switched off. We do not allow third parties to collect personal information about your activity across other websites through our Site.

Visitors outside the United States

We operate in the United States and our service providers store information here. If you contact us from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country. Third-party sites

The Site links to other websites — artists we have pressed for, suppliers, social platforms. We do not control them and are not responsible for their privacy practices. Read their policies before giving them information.

Changes to this policy

We may update this policy as our business or the law changes. The date at the top shows the current version. If we make a material change, we will make that clear on the Site and, where appropriate, notify you by email.
